What this tab controls
The defaults card notes where it bites: new-item values apply “in the item form and catalog imports (a POS-report import arrives with no thresholds at all).”
Set it up
1
Set the expiry horizons
Type a number of days and select Add, up to four times. Remove one with the × on its chip. Select Save horizons. Clearing them all reverts to the default pair.
2
Choose how strict dispensing is
Leave Enforce inventory on dispense off unless you want an unlinked medication or insufficient stock to abort the whole dispense. On, it behaves like the till; off, drift is logged rather than blocked.
3
Set the new-item defaults
Enter a Low-stock threshold and a Reorder quantity in whole units, then Save defaults. Leave either empty for no default. Bad input is refused with “Enter whole numbers of units, or leave a field empty for no default.”
4
Decide about expiry dates on receiving
Turn Require expiry date on new lots on if you want the gap closed at the door. It confirms with “Receiving now requires an expiry date on every new lot.”
5
Decide about selling without stock
Leave Allow selling items with no recorded stock on if goods reach the shelf before they are booked in. Turning it off “restores the hard stock check at the till”.
What changes once you save
Check it worked
Add a new item without touching its thresholds and confirm it arrives with the defaults you set. Open the Alerts tab and check the items listed line up with your horizons. If you required expiry dates, try receiving a new lot without one — it should be refused. If you enabled strict dispensing, try dispensing an unlinked medication; it should abort rather than warn.Common issues
There is no Inventory tab
There is no Inventory tab
It appears only while the Inventory care area is on. Turn it on in Facility.
I cannot see the Danger Zone
I cannot see the Danger Zone
The reset is owner-only and is hidden — not disabled — for managers and accountants. If you can see the rest of the tab but not the red card, that is why.
"This inventory cannot be reset"
"This inventory cannot be reset"
Vaccine administrations, ward medication administrations, adverse-event reports or patient-linked ledger entries reference these lots, and the reset is refused to protect that traceability. Correct quantities with a stock count instead.
I required expiry dates but old undated lots are still there
I required expiry dates but old undated lots are still there
The rule applies to new lots from the moment you save it. It does not go back and fix existing undated lots, and those stay invisible to earliest-expiry picking. Correct them by hand.
New items are not picking up my defaults
New items are not picking up my defaults
Defaults apply only to items created without their own values, and only after the save. Anything already in the catalog keeps what it has.
Nothing is showing on the Alerts tab
Nothing is showing on the Alerts tab
Check the horizons. With none set you are on the default pair, and an item only appears once it is inside one of them.
