Billing Dashboard is where a hospital’s money picture lives: what has been invoiced, what has been collected, what is still owed, and every invoice ever raised. It is the first of three revenue screens, and the one people open when they want a number.

What you’re looking at

The heading reads Billing Dashboard — “Manage your clinic’s financial activities and billing operations”. A date-range picker, Refresh and New Invoice sit beside it. Three tabs: The four tiles on Overview are: Billing Activity — “Invoiced vs collected over time” — can be read Weekly, Monthly or Yearly. Its tooltip separates money collected against an invoice from money taken directly with no invoice behind it, which is the difference between a billed admission and cash handed over at a desk. A quiet period shows No Billing Activity and “No invoices were issued or payments collected in this period.” Upcoming Payments lists what falls due next. With nothing outstanding it reads No Upcoming Payments.

Search or filter

Use “Search invoices…” for a number or a patient, and Filter by status for All Statuses, Draft, Pending, Paid, Partially Paid, Overdue or Cancelled.

Choose your columns

Toggle Columns turns Invoice Number, Patient, Amount, Status and Date on and off. Invoice #, Amount, Status and Date all sort.

Open the row's actions

Invoice Actions offers View Details, Edit Invoice, Download PDF, Send Invoice, Record Payment, View Payments and Delete Invoice — each shown only when it applies. Record Payment disappears once an invoice is fully paid or cancelled.
Empty state. A hospital with nothing raised shows No Invoices Found and “You haven’t created any invoices yet.”, with a Create New Invoice button. Filtered to nothing, the same panel reads “There are no invoices matching your search criteria.” — the difference matters, so read which one you have.

Define what you charge for

An invoice line is a service at a price. Build the list once — see Services and prices.

Raise the invoice

New Invoice, or from the patient’s record. A new invoice is created as Pending, not Draft — see Create and send an invoice.

Send it

Email the branded PDF to the patient, to an employer or insurer, or to both.

Record what arrives

Cash and transfers are recorded by hand; online payments record themselves — see Record and collect payments.

Who can do this

Role decides whether the screen opens. On Enterprise, an owner controls which roles reach Billing under Settings → Role Navigation — a ward nurse has no reason to arrive here, and a biller has every reason. Permission decides what you may do inside. Your hospital’s staff sheet carries a Billing section of per-person toggles, described in the product’s own words: Two acts are enforced on the server whatever else is set: voiding a payment is limited to a clinic owner, manager or accountant — “Only a clinic owner, manager or accountant can void a payment.” — and an invoice with a recorded payment cannot be deleted by anyone. Enforcement is opt-in per person: a colleague never saved in the permissions sheet is unrestricted, and the sheet warns “Saving starts enforcing” before that changes. A denied action is recorded; an allowed one is not. Hiding Billing from a role is a convenience, not a security boundary — and where a figure is not yours to see, it renders as a dash or the row is withheld, never as 0.

Check it worked

  • Total Revenue and Pending Payments change after you record a payment.
  • An invoice you raised appears on the Invoices tab with the number you will quote.
  • Collection Rate moves as invoices settle, and the overdue count beneath it falls.

Common issues

It is a placeholder: “Financial analytics and insights will be shown here.” Use Overview and Analytics for real figures.
Check the date-range picker, then select Refresh. The dashboard reads a range, not a live feed.
Check the status filter is on All Statuses and the search box is empty. A Draft is hidden whenever the filter is set to anything else.
A load failure, not an empty ledger. Refresh the page — the panel says so itself: “Please try refreshing the page.”
Free Clinic Mode is switched on under Settings → Billing, and your hospital carries a Free Clinic badge while it is.
Creating billing documents is granted per person. Ask an owner or manager — see Permissions.

FAQ

Your hospital’s currency, set once under Settings → Billing and used everywhere — invoices, receipts, memberships and the store. See Billing settings.
Because money can arrive without an invoice behind it. Splitting the two keeps “what we billed” and “what we took” from being quietly conflated.
No. Those are recorded in Pharmacy sales. A sale is not an invoice.
