Every HMO has one way of receiving your claims and pre-authorization requests. You choose it once on the insurer, and from then on Submit to HMO on a claim or a request uses it. Nothing is sent twice: once a record has reached the HMO, selecting Submit to HMO again tells you it was already sent.

Choose the channel

Open the insurer and find How claims reach this HMO. Pick a Submission channel. When you select Save changes, ClinikEHR checks the channel is ready; if it is not, the insurer is saved and you are told what is missing.

The signing secret

For Signed webhook, type the Signing secret (at least 16 characters) and select Set secret. It is stored encrypted and is never shown again — the card only reads Secret set. To change it, enter a new one and select Replace secret; Remove secret stops signed messages to this HMO until you set another. Share the secret with the HMO in the way you already share credentials.

Send a test

With a webhook or email channel saved, select Send test. A webhook test posts a signed message that contains no claim; an email test sends a plain message with no claim attached. Tests use the saved address, so save the insurer first if you just changed it.

Also tell the HMO (notice only)

Under Also tell the HMO (notice only) you can tick Email or SMS. These never carry the claim. They send one short line — “A new claim from your clinic is ready (ref …)” — with your clinic’s name and the reference number, and never a patient’s name or any clinical detail. A notice goes out once per claim, after the claim has been sent.
  • Email uses the claims email address. If email is the submission channel, the secure-link email already does this job.
  • SMS is sent from your clinic’s own SMS number and paid for in message credits. If your clinic has no SMS number, or sending to that country is not priced yet, the notice is skipped — the claim itself still goes through.
  • WhatsApp and Telegram read Coming soon and can not be ticked yet.

Send a claim or a request

1

Open the Actions menu

On a claim in Claims, or a request in Pre-authorization, open Actions and select Submit to HMO. It appears on a claim that has not been sent and names an HMO.
2

Read the confirmation

The confirmation says which channel this HMO uses and what leaves — for example, that a signed message goes to the HMO’s webhook. If the channel is not ready it says why instead, such as Set the webhook signing secret first.
3

Select Submit to HMO

You are told the claim was sent, or that it is queued and will be sent again automatically. Underneath the status the claim reads, for example, Sent via Signed webhook.
On the HMO portal channel the confirmation shows Open HMO portal and a Portal reference box. Submit on the HMO’s site, type the reference it gave you and select Mark as submitted on portal. If a delivery fails for a reason you can fix — a wrong address, a refused signature — the claim reads … delivery failed - submit again. Correct the insurer and select Submit to HMO again. If the HMO’s side is only busy, the claim reads Sending via …, will retry and goes by itself.

Check it worked

  • The claim’s status is Submitted (a request reads Waiting for the insurer), with a line saying how it was sent.
  • Selecting Submit to HMO a second time says it was already sent.
It is offered only on an unsent claim or request that names an HMO, to someone who can edit claims with two-factor sign-in done. Claims that went through Curacel show Check HMO status instead.
The message names the missing piece — Curacel not connected, no organization linked, no webhook address or secret, no email or portal address. Fix it on the insurer and try again.
