Outreach Events is for screening days and health fairs away from your usual rooms. You set up an event with its stations, check people in as they arrive, follow each person from station to station, and see afterwards how many people came and what was recorded for them. It is an Enterprise Clinic feature, and it is off in the menu until you turn it on in Settings, then Navigation. See Turn Outreach Events on.

Turn Outreach Events on

1

Open Navigation

Go to Settings, then Team, then Navigation. Only the clinic owner or a manager sees this tab.
2

Switch Outreach Events on

Find Outreach Events under Front Desk. It reads Off until you turn it on. Switch it on and select Save.
The menu updates for everyone in the clinic. Reset to standard navigation turns it back off. Turning it off only hides it from the menu: the page still opens from a link or a bookmark. The Front desk care area must be on, or the menu item stays hidden. See Navigation.

What you’re looking at

The Outreach Events page lists your events, with All, Open, Planned and Closed tabs. On a phone each event is a card; on a tablet or computer it is a table. A clinic with none sees No outreach events yet. Open an event to see its name, dates, place and status, then three tabs: An event is Planned until you open it, Open while people are arriving, and Closed when the day is over.

Create an event

1

Select New event

Enter the Event name, the Starts and Ends dates, and the Place. The place is printed on attendee cards.
2

Set the stations

The sheet starts with three common stations. Rename them, change their type, remove them, or select Add a station. Types are Intake, Vitals, Lab, Radiology, Consultation, Dental, Vision, Pharmacy and Other.
3

Create the event

Select Create event. It opens on the event page, Planned. Select Open event when people start to arrive.

Check people in

1

Select Check in

The button works while the event is Open.
2

Choose the patient

Search for the patient. Someone new? Select the register button beside the search, add them through the normal registration sheet, then search for them again. Checking in never creates a patient by itself.
3

Select Check in, then print the card

The person is on the list and gets a card number. Select Print card to print a small card with a barcode. Any station can scan it, or you can type the 12 digits into Scan or type a card number to open that person.
Checking in the same person twice keeps their first card.

Follow people through the stations

Open an attendee and mark each station Done or Skip, or Undo one marked by mistake. The list shows how many stations each person has handled. Station progress changes only while the event is Open.

Work at this event

Select Work at this event on the banner. From then on, every record you make for a person who is checked in to this event is tagged to it automatically: triage and vitals, consultations, notes, lab and imaging orders, prescriptions, documents and prescription pickups. You do not change how you record anything.
A record is tagged only for a person who is checked in to the event. A walk-up who was never checked in is not tagged, and the banner says so. Check them in first if their records should count.
Select Stop working here when you finish. Closing the event ends it for everyone working at it, and an event you are not working at tags nothing. You work at one event at a time in a clinic.

Read the report

The Report tab shows people checked in, how many have at least one record made at the event, and the total tagged records. Each station shows how many people are done, skipped and waiting, and the records made for that kind of station. Download station counts saves a file of the counts with no names. For the full attendance list, use Settings, then Data export, and choose Outreach Events, Outreach Event Stations, Outreach Event Attendees or Outreach Station Visits.

Who can do this

Saving a person’s permissions starts enforcing them. A refused action is recorded in the audit log; an allowed one is not.

Check it worked

Leave the page and open the event again. The attendee is still listed, the station still reads Done, and the Report tab counts them.

Common issues

It starts off. An owner or manager turns it on in Settings, then Navigation. It also needs an Enterprise Clinic plan and the Front desk care area.
The event is Planned or Closed, or you do not have the Run outreach events permission. Open the event, or ask an owner or manager.
You were not working at the event when you made it, or the person was not checked in to it. Records are tagged as they are made, so check the person in and turn on Work at this event before you record.
A closed event is a record, so its stations are read-only. A station that already has visits cannot be removed.
The card belongs to another event or another clinic, or the number was mistyped. A card number is 12 digits.

FAQ

Yes. An owner or manager selects Reopen. Everyone has to select Work at this event again.
Events are closed, not deleted. If an event were ever removed, the records stay and simply lose the event tag.
The card is printed for them at check-in. It carries their first name, the last initial, and the number, and no clinical information.
