On a phone

Four tabs sit along the bottom: Home (all your conversations), DMs, Activity and Search. A number on a tab is what is waiting for you. Select a conversation to open it, and the back arrow in its header returns to the list. A thread opens as a sheet that covers the screen.

On a tablet or desktop

The list is on the left. At the top of it are Search, Activity, All unreads and Saved, then your Starred conversations, your own sections, Patients, Channels and Direct messages. Select a section’s name to fold it; it stays folded on this device. Turn on Unreads only to see only what has something new.
  • Activity lists mentions, replies, reactions and reminders aimed at you. Select a row to open the message; it is marked read as you open it. An urgent alert has no conversation to open, so selecting it just marks it read. Select Mark all as read to clear every row loaded on screen, and Show more to load older ones. If Activity can’t load, select Try again.
  • All unreads shows the newest unread messages in every conversation in one place.
On a wide screen, drag the edge between the list and the conversation to make the list wider or narrower, or focus the edge and use the arrow keys (Shift for bigger steps; Home and End for the limits). The thread panel resizes the same way. Your widths are remembered on this device, and the conversation never gets narrower than about 480 pixels; on a narrower window the thread opens as a sheet instead.

Open a conversation in its own window

Select Open in a new window in a conversation’s header. The window shows just that conversation. Select Open full chat inside it to come back.

Format your message

Under the message box, the formatting bar offers bold, italic, code, a bulleted list and a link. On a phone select Aa to show it. Only web links open, and nothing from outside is loaded into a conversation.

Writing help

Select +, then Writing help (AI). Choose Make clearer, Shorter, More polite or Draft a reply. The suggestion is marked AI suggestion; select Use this to put it in your message box or Discard. It never sends anything. On the Free plan an upgrade prompt appears instead.

Report a message

Open Message actions on someone else’s message and choose Report. Pick a reason, add a note if you like, and select Send report. Owners and managers see the report and the message. The person who wrote it is never told who reported it.

Slow down, blocked words and paused posting

  • If you send too quickly you see Slow down — try again in N seconds; your message waits and sends by itself.
  • A word your clinic warns about shows a reminder before you send. A blocked word stops the message.
  • If posting is paused for you, a banner says until when. An owner has been told.

Safety settings for owners and managers

In Team chat settings, the Safety section has:
  • Words: add words or phrases and choose Warn, Block or Flag quietly. A built-in list of abusive words is always blocked.
  • Limits: lower how many messages, new direct messages and uploads people can send. You can lower a limit, never raise it.
  • Reports: Dismiss, Hide the message or Pause the sender.
  • Paused people: Lift the pause, or Sign out everywhere.
  • Flagged words: how many flagged messages there were, by conversation and day.

Sounds, your data and typing

In Team chat settings: turn sounds on or off, choose Chime, Bell or Pop, and select Play sample. An urgent alert always plays its own sound. Select Download as a spreadsheet or Download as JSON under Download my messages to get your own messages once a day. Turn on Hide my typing so others never see that you are typing.

Shared devices

Turn on This is a shared device in Team chat settings. After a few minutes without use the chat blurs and asks you to confirm it’s you with your password or a passkey. Notifications on a shared device show no names.

Open ClinikEHR when you sign in (desktop app)

In the desktop app, Team chat settings has Open ClinikEHR when I sign in to this computer. It is off by default and isn’t available on a shared device or a till.

Owner controls for a channel

In Channel details, an owner can set Keep messages for to a shorter time than the clinic’s setting, turn on Disappearing messages (after 24 hours or 7 days), or Delete this channel when nothing was ever posted in it. A channel with disappearing messages shows Messages here disappear after 24 hours (or 7 days) at the top, and nobody can tag a patient there. A legal hold always keeps what it covers.

Questions about an order

A conversation about one order shows the patient and a Resolve button. Select it, write how it was settled and select Resolve and close; the note is saved on the order.
