Two different things are called “invoices” in ClinikEHR. This page is about what you pay us — subscriptions, staff seats, add-ons and credit packs. The invoices you raise for your own patients or customers are a separate module inside the workspace: see Invoices. Nothing on this page affects them, and nothing there appears here.
Find a charge

Open Billing on your personal home
The top navigation is Dashboard, Clinics, Billing and Settings. Billing & Subscriptions covers every workspace you own, not just the one you were last in.

Go to the Payment History tab
The four tabs are Overview, Plan Subscriptions, Add-on Features and Payment History. The last one is the ledger.Above the table, Total Payments, Successful, Pending/Failed and This Month give you the shape of it at a glance.

Narrow it down
Search with Search payments…, or filter by Status (All Status, Paid, Pending, Overdue), Type (All Types, Subscription, Add-ons, Metered, Top-Up), Date and Clinic.Type is the fastest way to answer “what was this?” — a staff seat or a plan renewal is a Subscription, a credit pack is a Top-Up, and per-use clinical charges are Metered.

Open the row
The Invoice Details sheet shows Invoice, Clinic, Plan, the Dates block (Invoice Date, Due Date, Period Start, Period End, Payment Date), a Breakdown with Discount and Total, and Payment Information naming the Provider, Billing Cycle and Reference.
Get the paperwork
- Download Receipt — the icon on each row of the table, for a single charge.
- Download PDF — inside the Invoice Details sheet, for the full document.
- Export — at the top of Payment History, for the whole filtered list. Export Data on the page header does the same for your billing overall.
Add-on subscriptions
Premium Add-ons are billed alongside your plan and managed on their own tab — AI Note Taker, ePrescribe, ePrescribe PDMP and eLabs Access. Each card shows its price, whether it is Active or Not Subscribed, and either Add Feature, Included with your plan, or Requires Paid Plan if your plan cannot carry it yet. Cancelling one warns you: “You’ll lose access at the end of your current billing period. This action cannot be undone.” The charge then stops at the next cycle, not immediately.When a payment fails
You will see the row as Overdue under Payment History, and the workspace card under Plan Subscriptions as Past Due. Fix it from the Fix Payment prompt or by going through checkout again — see Payment methods. The Overview tab is the quickest health check: Billing Alerts reads “All Payments Up to Date” — “No outstanding invoices or payment issues” — when there is nothing to do.Check it worked
- The charge you were looking for is in Payment History with the right Clinic, Date and Amount.
- Its Status reads Paid.
- Download Receipt produces a file that opens.
- Overview shows Monthly Spend matching what you expect across your workspaces.
If something goes wrong

Either nothing has been charged yet — normal on Free and during the no-card trial — or your filters are excluding it. The empty state distinguishes the two: “No payment history available for your clinics yet.” versus “No payments match your current search criteria.”

You are signed in with an account that owns no workspace. If you are staff somewhere rather than its owner, your workspace’s billing belongs to its owner and is not yours to see. See Work across more than one workspace.

Open the row and read Type and Clinic. A Subscription charge partway through a month is usually a staff seat — those are prorated the moment the seat is added. See Staff seats.

The billing details come from the payment provider’s record, not from your workspace profile. Contact support with the invoice reference from the Invoice Details sheet.

Cancellation takes effect at the end of the billing period, so one more charge is normal only if it predates the cancellation. Check Period Start and Period End in the sheet, then contact support with the reference.
