Three switches control the email ClinikEHR sends to you as a person, in every workspace you belong to. They are not the same as the notification settings inside a clinic, and mixing the two up is the single most common reason people say “I turned it off and it still arrives”.

The three personal switches

They are deliberately on three different tabs, because they mean three different things.

Set Product & account emails

Open the Notifications tab, headed Notification Preferences over “Manage the emails you receive from ClinikEHR.” The switch reads:
Product & account emails — Product updates, tips, and account notices. Turn this off to stop all non-essential email. Security alerts, password resets, and receipts are always sent.
Select Update Notification Settings.

Set Marketing Emails

Open the Account tab and find Marketing Emails — “Receive emails about new features and promotions.” Select Update Account & Credentials to save it, along with anything else on that tab.

Set Login Notifications

Open the Security tab and switch Login Notifications on if you want an email with the time, device and IP address whenever your account is signed in to. Select Update Security Settings.

What you can never switch off

Transactional email always arrives, whatever these switches say: security alerts, password resets and receipts. Those are the messages that prove something happened to your account or your money, so there is no opt-out for them.

Your switches are not the workspace’s switches

This is the part worth getting right. There are four separate places notification preferences live, and each one governs a different recipient. So if a colleague’s appointment reminders are still going out after you switched off your own product emails, that is the workspace’s setting, not yours. See Notification settings.
The Notifications tab points at this itself: “Marketing & promotional email preferences live on the Account tab, and login-alert preferences on the Security tab.”

The workspace’s categories, in brief

For context when you go looking: a workspace’s notification card holds a master Email notifications switch — “Master switch for all clinic emails. Turn off to pause non-essential email.” — over per-category switches for Appointment, Patient, Staff, Billing, Subscription, Document, Insurance and System, plus Achievement emails (“Milestone badges, tier-ups, and your clinic’s trophy case”) and Daily operational digests (“Morning owner summaries for inventory, pharmacy, and lab”). Two things to know about that card:
  • System cannot be switched off — “System notifications cannot be disabled as they contain important updates about your clinic.”
  • The category list adapts to your edition, so you only see categories that apply to your kind of business.

Check it worked

  • Reopen each tab: the switches hold the position you left them in.
  • Give it a working day. Product and marketing email is periodic, so the real test is the absence of the next one, not an immediate change.
  • With Login Notifications on, sign out and back in — the alert email should arrive within a minute.

If something goes wrong

Check what kind it is. Receipts, password resets and security alerts are always sent. Appointment, billing and staff notices come from a workspace, and are switched off in that workspace’s notification settings, not here.
The personal switches are all-or-nothing across every workspace. To silence one workspace only, ask its owner to switch off the categories you do not need there.
Check your spam folder and any mail rules first, then confirm the email on your profile is the address you are watching.
The save did not reach us. Check your connection and select the update button again.
