Electronic prescribing sends a prescription from a patient’s record to a real pharmacy, through MDToolbox. It is an add-on rather than part of a plan, and there is a registration step before anything can be sent — so read the setup section before you promise a patient a prescription is on its way.

Getting set up

Three things have to be true before the prescribing screen appears, and the tab tells you which one is missing.

An active paid plan

On the Free plan, or on a paid plan whose payment is past due, the tab shows an upgrade prompt instead. A lapsed payment collapses paid features until it is settled — see Change your plan.

The ePrescribe add-on, with a seat activated for this clinician

The add-on is bought per prescribing seat. Without one you are told you need to activate the ePrescribe Add-on seat for this clinician, with a Manage Add-ons button.

Your practice registered with the partner

Until that is done you see Practice Registration Required — your account has the add-on active, but the practice is not registered yet. Select Register for ePrescriber to open the partner’s signup. They verify the practice, and ClinikEHR support then activates your prescribing credentials. If you have already registered and still see this message, the final integration step is still in progress.
The credentials that connect your practice to the partner are stored encrypted and are never shown anywhere in the product — not to you, not to an owner, not on any settings screen. There is nothing for you to copy, paste or keep safe.

Send a prescription

Check the patient's details are complete

They need a valid phone number, a date of birth and an address. This is the single most common reason the next step fails, so it is worth a glance first.

Open the patient and select the Medications tab

The screen is headed Medications & ePrescribe — “Manage active prescriptions and send to pharmacies”.

Sync the patient

If the patient has never been sent across, select Sync Patient. When they are already known you see Synced with MDToolbox instead, and there is nothing to do.

Select New Prescription

On an unsynced patient the same button reads Sync & Prescribe and does both in one go. Either opens the partner’s prescribing window.

Write and send the prescription in that window

Drug selection, dose, pharmacy and transmission all happen there. Come back to ClinikEHR when you are done.
A live connection sends to a real pharmacy. There is no rehearsal mode between you and the counter — a prescription you send while “just trying it out” is a prescription somebody will dispense. When you are testing the integration, use a patient you created for that purpose with details that are obviously not a real person’s, and never a live patient’s record.

Current Medications

Everything active for that patient is listed under Current Medications, with its dose, its frequency, an Active badge and the time it was last synced. Each row offers a reminder: Refill reminder if none is set, or View reminder if one is. A reminder appears on the patient’s activity timeline and prompts your team when a refill is due — see Prescriptions. If the list is empty you get No Active Prescriptions Found, which means nothing has been synced across for this patient — not that they have no medication. Anything recorded by hand elsewhere in the chart is separate from this list.

Check it worked

  • The header shows Synced with MDToolbox rather than a Sync Patient button.
  • The new medication appears under Current Medications with an Active badge.
  • The row shows a recent “Synced” time.
  • The pharmacy has it. If the partner’s window reported success, the transmission is theirs to confirm — ClinikEHR shows you what synced back.

If something goes wrong

The message names the cause: the client’s profile needs a valid phone number, date of birth and address. Fill in whichever is missing on their record and try again.
Same cause, same fix — a valid US phone number, date of birth and address on the patient’s profile. A missing area code is enough to fail it.
Verification and credential activation are two steps, and the second is done by ClinikEHR support. If it has been more than a few working days, contact support with your workspace name.
The add-on is per seat. Activate a seat for that clinician under add-ons on your billing screen.
Check your subscription. A payment that has failed collapses paid features until it is settled, and the tab says so with a Fix Payment button. See Payment methods.
Current Medications shows what has synced back from the partner. A medication recorded by hand in the chart, or one prescribed outside this integration, lives elsewhere in the record.
The prescribing screen opens in a new window. Allow pop-ups for ClinikEHR on that browser and select the button again.
