Your service list is the price list for the whole clinic. Invoices are built from it, your booking page offers what is on it, and reporting groups revenue by it. Get it right once and everything downstream gets easier.

Add a service

Open the sheet

Select New Service. The New service sheet opens — “Add a new service to your clinic’s catalogue.”

Name it and price it

Service Name* is what appears on the invoice and on your booking page, so write it the way a patient would recognise it, not as an internal code. Price* is in your clinic’s currency.

Choose the service type

Service Type* — “The category this service falls under.” The picker is grouped: General, Medical Services, Diagnostic Services, Therapy Services, Alternative Medicine, Mental Health and Wellness Services. Pick the closest; it is what reporting uses to tell a consultation apart from a lab test.

Add a category and a code

Service Category is your own grouping, and you can create one from inside this sheet if it does not exist yet. Procedure Code takes the CPT/HCPCS code if you bill insurance — it carries through onto invoice lines and claims.

Describe it and save

Description is the text a patient reads when booking. Leave Active on — “Toggle whether this service is currently available.” — and select Add Service.

Add a category

Select New Category, enter a Category Name*, an optional Description, and leave Active on. Categories exist so that a list of sixty services is navigable: group by what a patient came in for (“Antenatal”, “Occupational health”), not by which staff member performs it.

Retiring a service

Switch Active off rather than deleting. An inactive service stops being offered for booking and stops appearing in the invoice picker, but every invoice that already used it keeps its line, its price and its history intact. Deleting a service that has been billed is how a revenue report ends up with a hole in it.

Check it worked

  • The service appears under the Services tab with its price in your clinic’s currency.
  • “Search services to add…” on a new invoice finds it.
  • If you offer it publicly, it appears on your booking page.

If something goes wrong

Currency is a workspace-wide setting under Settings → Billing, not a per-service one, and only an owner can change it. See Currency.
Editing service fees is granted separately from creating services, so that the people who maintain the catalogue are not automatically the people who can reprice it. See Permissions.
Check it is Active, then check it is offered on the booking page itself — a service can exist in your catalogue without being published for online booking. See Your booking page.
Payer-specific pricing is not set here. On the Enterprise plan, set negotiated rates under InsurancePricing — see Insurance in ClinikEHR.
Free Clinic Mode is switched on under Settings → Billing — “Enable this if your clinic provides free services. All charges will be disabled.” Your clinic carries a Free Clinic badge while it is on.
