When a sale to a registered customer or patient looks like it came too soon, repeats a prescription number, or asks for an unusually large quantity, the till shows a warning with the evidence behind it — right there in the cart, before you complete the sale. It never stops the sale. A lost bottle, a changed dose, or someone travelling are all real reasons to dispense anyway, and the person at the counter is always the one who decides.

What triggers a warning

A warning only appears when the sale is linked to a registered customer/patient — a walk-in with no name on file cannot be checked against anything, and the till does not pretend otherwise: no warning is not the same as “clear,” it means the check had nothing to compare against.

What you see, and what to do

The warning appears as an amber panel above the cart, naming the medicine and the reason — for example, “Last supplied 2 September, 28 days’ supply; next due 30 September.” Press Add a reason to record why you are proceeding (a short list, or your own words) — this is entirely optional and never required to complete the sale.

Days supply and prescription number

Open Dispensing details in the cart toolbar to record, on any line:
  • Days supply — 30, 60, 90, or a custom number. Without this, the early-refill check has nothing to compare against and stays silent.
  • Prescription number — optional, used only for the repeated-number check.
  • Chronic / maintenance medicine — mark a medicine this way once, and every future sale of it nudges you to record days supply.

What you’ll be asked

If you add a medicine marked chronic / maintenance and no customer or patient is attached to the sale yet, the till asks — once per sale — whether to attach one, right in the cart: “So we can check when this was last supplied, attach the customer to this sale.” Choose Attach customer to open the same Customer tab you’d use anyway, or Skip to carry on without one. Either way, you won’t be asked again for the rest of that sale. This never appears while the till is offline, and never appears if a customer or patient is already on the sale.

If the till is offline

A sale taken offline is never checked against history at the counter — the check needs the server’s own record, which an offline device cannot see. The sale still completes normally. Once it reaches the server, the same check runs, and if it finds something, that appears later in the review list for someone to look at — it never changes or reverses the sale that already happened.

The review list and thresholds

Owner, manager, and anyone granted the permission can open the review list — every flagged sale, its evidence, and any reason recorded — filterable by check and by date, and change how sensitive each check is (or turn one off) from the Thresholds tab on the same page. The list also shows how many sales in the selected period had a maintenance medicine sold with no customer or patient identified — a count, not a list of who. Each check can be turned on or off, and the early-refill grace period and the unusual-quantity multiple can be adjusted, from that same screen.
