# Keep a supervision hours log

> Track each supervisee's hours against their licensing board's rules and targets, confirm and sign periods, and give them a signed copy.

Each supervisee has a log of supervision hours. Meetings fill it in for you, and you can add sessions held somewhere else. Every entry is checked against that supervisee's licensing board: an entry that does not count is kept and marked with the reason, never deleted.

<Path steps={['Sidebar', 'Telehealth', 'Supervision', 'Supervisees and hours']} />

<TaskHeader before="The supervisee on your list, with their board's rules" time="A few minutes a month" after="A signed, locked period and a PDF the supervisee can keep" />

## Add a supervisee

Select **Add supervisee**. Enter their name, e-mail, licence and **Licensing board**. Under **What counts toward this board** set the minimum session length, whether group, individual, video and in-person sessions count, and the largest group that counts.

Under **Hours the board requires** you can enter the **Supervision hours required** and the **Direct client hours required**, and a date to **Count hours from**. A progress bar shows how far they have come.

If the supervisee works in your clinic, choose them under **Works in this clinic**. They then see their own log under **My supervision log**, and their direct client hours are counted for them from their completed appointments. Only minutes are counted; nothing about a client is shown. Hours earned elsewhere are added with **Add direct hours** and are marked **Manual**.

## Confirm and sign

<Steps>
  <Step title="Check the sessions">
    Open the supervisee's log. Time in a meeting is the time the person was actually there. A drop-out shorter than two minutes is ignored. If the figure is wrong, select **Adjust minutes** and give a reason. The first figure is kept.
  </Step>

  <Step title="Confirm">
    Tick the sessions and select **Confirm selected**.
  </Step>

  <Step title="Sign the period">
    Select **Sign a period**, choose the dates, type your name and licence and select **Sign and lock**. The sessions in that period can no longer be changed.
  </Step>

  <Step title="Send it">
    On the signed period, **PDF** and **CSV** download the log, and **E-mail to** the supervisee sends a link that works for 14 days and opens only that signed log.
  </Step>
</Steps>

## Archive a supervisee, and erase their contact details

Open a supervisee and select **Archive**. Switch on **Show archived** above the list to see archived people again. An archived person can no longer join, get a code, or receive links, but their signed log stays for your clinic's retention period. If they ask you to remove their contact details, open the archived supervisee and select **Erase contact details**. Their e-mail address and licence number are removed for good; their name and every signed entry stay as licensing evidence.

## Fix a mistake after signing

Select **Add a correction** on the signed session and say why. The original stays on the log, marked **Corrected**, and the new entry replaces it in the totals. The period shows **Changed after signing** until you confirm the correction and select **Sign again**.

## More than one supervisor

A supervisee with several supervisors has one combined log. Each supervisor confirms and signs only the sessions they supervised, and the combined view shows who signed what.

## Who can do this

| Action | Who | Governed by |
| - | - | - |
| Add and edit supervisees | The supervisor; owners and managers for all | Permission **Host video visits** |
| Confirm, sign and correct | The supervisor, owners and managers | Role |
| See your own log | A supervisee linked to their clinic account | Your own account |
