# Find messages and organise Team chat your way

## Search

Select **+**, then **Search messages**. Type words and narrow by **From**, **In**, **Dates**, **Only messages with a file** or **About a patient**. To search by patient, select **Choose a patient**, type part of their name or ID, and select them from the list; they appear as a chip you can remove with **Remove patient filter**. Only patients you are allowed to see can be searched for. You find messages in channels you can read and in your own conversations; private ones you are not in never appear. Select a result to open it in place. On the Free plan the search covers the last 90 days, and older messages return when you upgrade.

## Save, remind and star

* **Save for later** on a message adds it to **Saved messages**, a private list.
* **Remind me** offers 20 minutes, 1 hour, tomorrow morning, or **Pick a time**. You get a notice that points back to the message.
* **Star** a conversation from its options button to pin it at the top under **Starred**.

## Your own sections

Open a conversation's options and choose **Manage sections…** to add sections under **Your sections** and move conversations into them. Drag a starred or sectioned conversation to reorder, or use **Move up** and **Move down**. Only you see how you arranged the list.

## Quick replies

Type **/** in the message box and pick a saved reply. Open **+** then **Quick replies…** to add your own. Your replies are private to you. Only owners and managers see **Share with everyone**, and only they can add, edit or delete a reply that everyone in the clinic uses. A reply can use \{patient} where a patient is tagged.

## Keyword alerts and notifications

In **Team chat settings**, add words under **Keyword alerts** to be notified when they appear in a conversation you are in. Under **Notifications on this device**, turn on **Notify me on this device** for mentions, direct messages and urgent alerts only; they show who wrote, never what.

## Reactions and emoji

Use the quick reactions, or **More…** for the full picker you can search by name and use with the arrow keys. Your **Display** settings change spacing and text size.

## Bookmarks and links

Channel admins can pin links under the channel name with **Add a bookmark**. They open in a new tab or inside ClinikEHR and nothing is fetched from them.

## People

Select **People** in the list. Search by name, filter by role or site, or turn on **On shift now** to see only the people whose rota shift covers this moment (overnight shifts included; cancelled shifts don't count). If no one is on shift, or the clinic has no rota yet, the list says so and **Open the rota** takes you to it. The list shows 20 people a page; use **Show** at the bottom to choose 10, 20 or 50 per page, and the page buttons to move through it. A new search or filter starts again at page 1. Select a name for their card: role, site, status and the shift end, in a popover on a computer and a sheet on a phone. A work phone number shows only if they chose to show it.

## Mark as unread, and mark everything as read

Reading is kept for you alone, in every conversation, including channels: once you have read up to the newest message, that conversation stays read when you leave Team chat and come back, even if you leave straight away, and it stays unread for everyone who has not read it. Open **Message actions** and choose **Mark as unread** to come back to a message; others' ticks don't change. **Mark all as read** in the **+** menu clears every conversation, and asks first if there are more than 20. Urgent alerts and critical results are never cleared by it.

## Hide resolved threads

Select **Hide resolved threads** in the conversation header to take resolved threads out of the list; select it again to show them. Every icon in the header (**Start a huddle**, **Start a call**, **Pinned messages**, **Channel details** and the rest) shows its name when you point at it or tab to it.

## Event feeds

Channel admins and owners can post a short line when something happens, under **Event feed** in **Channel details**, in four groups: **Appointments**, **Results ready**, **Payments and refunds** and **Stock alerts**. A line links to the record and never shows a patient's name. Event feeds are part of Essential and up.

## Resolve a thread

On a message with replies, choose **Mark thread as resolved**. It shows **Resolved**, drops out of Activity, and **Reopen thread** brings it back. A new reply reopens it too.

## Ask to join a private channel

Some private channels can be found by name and purpose. In **Browse channels** select **Ask to join** and add a note. A channel's admins see **Waiting for your decision** and select **Approve** or **Decline**. When you add someone to a private channel you choose whether they see the earlier messages or only what comes next.
